Move from a spreadsheet
Turn your spreadsheet into closed books for free.
Download your Google Sheet or Excel file as CSV or XLSX, or ask your bookkeeper for a general ledger export. The agent maps it, proves it and asks you only what it cannot resolve.
42 of 42 months tie to the cent
Checked against a spreadsheet's own month-end numbers and every bank and card statement.
5 steps, and you approve once.
- 1
Get a general ledger file
Any general ledger with a date, an account, and debit and credit columns. One signed amount column works too. From Google Sheets, download it as CSV or Excel. A bookkeeper's export from QuickBooks, Xero, Pilot or Zeni works as it is.
- 2
Upload it with your account list and statements
Both extras are optional. An account list gives each account its type. A statements file lets the agent check each bank and card balance at every month-end.
- 3
The agent reads and maps the file
It finds the header under any title rows, skips subtotal and total rows, and reads parentheses as negatives. An entry that does not balance stops the move and names its rows, so nothing half-read reaches your books.
- 4
The agent proves every month, and you answer what is left
When the file carries a running Balance column, or monthly balance sheets and profit and loss reports, the agent ties every month-end to them. Anything it cannot resolve comes to you as a short, grouped question.
- 5
You approve once, and your books go live
One approval moves your history out of staging. You can undo the whole import for 30 days. Connect your banks, and they post new transactions from the day after your last moved month.
What comes over from a spreadsheet
- Every account named in the file, typed from your account list, its code or its name
- Every ledger line, grouped into balanced entries
- The vendor, customer or payee named on each line
- Opening balances, from beginning-balance rows
- Month-end balances, from a running Balance column or from monthly balance sheets and profit and loss reports
- Bank and card statement balances, from a statements sheet
How we prove it ties to the cent
The agent rebuilds your books in a staging copy first. When the file carries the old books' own numbers, a running Balance column or monthly balance sheets and profit and loss reports, it checks every month-end against them to the cent. It always checks that every entry balances and that assets equal liabilities plus equity, and it checks each bank and card balance against any statements you upload. Where the answer is clear, such as a missing opening balance, it explains and fixes the difference; the rest become questions for you. You get a tie-out report, as PDF and Excel, with every month, every account and every difference. Suspected mistakes in the old books go on a separate cleanup list.
Questions about moving from a spreadsheet
What does the move cost?
Nothing. Migration is free on every plan, including Free, for every company you move.
My spreadsheet is a list of bank transactions. Can I still move?
Yes, through your banks. The move needs both sides of every entry, so connect your banks instead: the first sync pulls up to 24 months, or as much as the bank allows. Upload CSV, OFX or PDF statements for older months, and Accountable categorizes every transaction.
Which file formats work?
CSV and Excel (.xlsx). Save an old .xls file as .xlsx first. Google Sheets downloads as either.
Can my bookkeeper's export come in as it is?
Yes. The agent recognises general ledger exports from QuickBooks, Xero, Puzzle, Pilot and Zeni by their titles and columns, and it reads Pilot's monthly financial package as it is.
Which basis do my books come over on?
The basis named in the file's title row, such as "Cash Basis" or "Accrual Basis", or your company's own basis when the file names none. If this company already closed months on the other basis, the move stops and tells you before anything changes.
