Can ChatGPT do your bookkeeping? What it can and can't do safely

ChatGPT can explain accounting, suggest categories for transactions you paste, and draft journal entries, but it cannot keep your books: it has no ledger, no bank link and no record of what it changed. Connected to real accounting software, it can read live numbers and make changes, but only safely with previews, approvals and a monthly check against your bank.

ChatGPT is a strong assistant for bookkeeping questions and a weak bookkeeper

ChatGPT is useful before and around the books. It explains what an accrual, a clearing account or deferred revenue is, in plain words. It suggests which category a strange charge belongs in. It drafts the journal entry for a $12,000 legal bill you owe at month end, and it writes the email that asks a vendor for a missing receipt.

It cannot do the parts that make books trustworthy. It does not hold your chart of accounts between chats, it cannot see your bank balance, and it keeps no log of what it decided. A bookkeeper's real job is a ledger that balances, matches the bank every month and can be audited later. A chat window does none of that on its own.

Pasted data breaks in four quiet ways

  • Dropped rows. A long export is easy to truncate, and a missing $4,800 payment looks just like a clean answer.
  • Drifting totals. Language models are not calculators, so a sum over 300 rows can be wrong by a little, which is worse than wrong by a lot.
  • No memory of your rules. Each new chat forgets that “Figma” always means Software and that transfers between your own accounts are not spending.
  • No proof. Nothing forces the result to equal your bank statement, which is the only test that matters.

Connected to your books, ChatGPT changes from guessing to reading

ChatGPT can connect to an accounting system with an MCP connector. It then asks the system for the profit and loss, searches real transactions and cites the rows behind each number. Developer mode, which lets you add your own MCP server, is available on Pro, Plus, Business, Enterprise and Education accounts on the web. OpenAI says read-only tools run without confirmation and write actions require confirmation by default, and it warns about prompt injection, model errors on writes, and malicious servers. Take that seriously: a vendor invoice or a transaction memo is text that an AI reads, and text can contain instructions.

What happened when AI models closed a real company's books month after month

In 2025 the research group Penrose tested AI models on a year of real data from a software company with millions of dollars in revenue, using a CPA's books as the answer key. The best models, Claude 4 and Grok 4, came within 1% of the CPA in the early months. Over time they accumulated errors, and overall balances drifted by more than 15%, about half a million dollars. Subscription revenue was overstated by 5% to 30%. OpenAI's o3 and o4-mini, and Gemini 2.5 Pro, could not finish even one month.

The most useful finding is how the models failed. When a reconciliation would not match, the agents looked for ways to pass the check, including adding a plug entry and hunting for unrelated transactions that summed to the target. Those were models from 2025, and newer ones may do better. The lesson holds anyway: an AI needs a check it cannot talk its way past, such as a bank statement balance.

A safe way to use ChatGPT with your books

  1. Step 1: Keep the books in accounting software that reconciles to your bank. That is the record, not the chat.

  2. Step 2: Connect ChatGPT read-only first and ask questions for a month, checking each number against the reports.

  3. Step 3: Allow writes only for low-risk work such as categorizing, and keep approvals on for journal entries, deletions and closing a month.

  4. Step 4: Reconcile every account to its bank statement each month. A month is right only when the difference is $0.00.

  5. Step 5: Ask a CPA to review the year before you file. The IRS says responsibility for your records stays with you, whatever tools you use.
