How a Rippling pay run is booked

The CSV has a row for each employee in each pay run. Accountable adds the rows of one run together and posts one entry, so the books show the run, not each person's line. The bank payments for that payroll clear the entry from the other side.

Example: three employees in one pay run

The CSV has three rows for the run: gross pay $9,000.00, $7,500.00 and $6,000.00, so wages are $22,500.00.

Employer taxes add up to $1,721.25 and employer benefits to $1,100.00.

The entry: Debit wages $22,500.00, employer taxes $1,721.25 and benefits $1,100.00. Credit Payroll clearing $25,321.25.

The bank payments for that payroll total $25,321.25, so Payroll clearing ends at $0.00.

How to add Rippling payroll in five steps

  1. Step 1: In Rippling, open Reports and choose the payroll journal report, or build one in the report builder. You need to be an admin with access to payroll reports.

  2. Step 2: Include one row per employee per pay run with check date, gross pay, employer taxes and net pay. Pay period, employer benefits and reimbursements help if you have them.

  3. Step 3: Pick the period and download it as CSV.

  4. Step 4: In Accountable, open Connections (Settings › Banks, cards and payroll) and press Upload on the Rippling row, then drop the CSV.

  5. Step 5: Check the pay runs and press Post N pay runs.

The first upload can cover the whole year

Set the report's period to the whole year the first time and upload it once. Runs already booked are skipped, so the next upload can overlap the last one without counting anything twice, and every pay run from the year arrives in one go.

Upload after every payroll so the month matches the bank

Because Rippling is an upload, the books show a payroll only after you upload its report. Upload on payroll day and the close has nothing to wait for. Until you upload, Rippling's bank payments are in the books but the cost of that payroll is not.

Does Accountable connect to Rippling directly?

No. Rippling payroll comes in as the payroll journal CSV you download and upload in Connections after each payroll. Accountable never signs in to Rippling.

Is adding Rippling payroll free?

Yes. Payroll reports are unlimited on every plan, including Free.

What if the report has the same pay run twice?

Runs already booked are skipped, so you can upload the whole year again and nothing is counted twice.

Which Rippling report should I use?

The payroll journal report, or one from the report builder with one row per employee per pay run. Rippling's own help center needs a login, so check the report's name in your account.
