Connect Gmail and Google Drive to your books: receipts found and attached

Connect Gmail and Google Drive in Accountable under Settings › Gmail and Drive. Google asks you to allow read-only access, and you pick the one Drive folder that holds your invoices and statements. When a payment needs a receipt, Accountable looks in Gmail and that folder and attaches what it finds. It never sends email, deletes anything or changes a file, and it reads only receipts and invoices.

A receipt found for a payment is attached to that payment

When a transaction has no receipt, Accountable looks in Gmail and in your folder, reads what it finds and links it to the transaction, bill or month it proves. The Documents page shows every file with its tabs, All, Bank statements, Receipts, Contracts, Tax and Board, and an Unlinked filter for what still needs a match.

How to connect Gmail and Drive in four steps

  1. Step 1: Open Settings › Gmail and Drive. You need an owner or admin role in the company, and the Google account that gets your receipts and invoices.

  2. Step 2: Next to Gmail, press Connect and pick your Google account. Google asks you to allow read-only access.

  3. Step 3: Next to Google Drive, press Choose folder and pick the folder that holds invoices and statements, like Finance / Receipts.

  4. Step 4: Accountable looks in Gmail and the folder when a payment needs a receipt, attaches what it finds, and shows Last looked under each one.

Forwarded and uploaded receipts reach the same place

Without Google, every receipt still ends up on the same Documents page. Drag files onto any page or press Upload on Documents, or forward receipts to the address shown under Forward receipts to. Accountable accepts images, PDF, CSV, Excel, Word and text files up to 25 MB each, and files from your team are filed within a minute.

Google can end access, and you can end it first

Google sometimes stops an app's access, for example after a password change. The row then says Access expired; press Reconnect and allow access again, and receipts already attached stay attached. To end it yourself, press Disconnect, then Disconnect Gmail and Drive: one Google permission covers both, so both stop and Google's access is revoked.

Google also lets you review and remove the apps that have some access to your account data at any time, from your Google Account's linked-apps page.

Questions founders ask

Can Accountable read all my email?

It connects with read-only access and looks only for receipts and invoices when a payment needs one. It never sends email or deletes anything.

Does it see my whole Google Drive?

No. Drive access covers only the folder or files you pick, not the rest of your Drive.

Can I skip connecting Google?

Yes. Every company has its own forwarding address at the top of Settings › Gmail and Drive. Press Copy forwarding address and forward receipts to it from any inbox.

What happens to attached receipts if I disconnect?

Files already attached stay in Documents. Disconnecting stops new lookups and revokes Google's access.
