Connect Gmail and Google Drive to find receipts

Connect Gmail and Drive in Settings › Gmail and Drive. Accountable reads only receipts, invoices and the Drive folder you pick, read only, and attaches them to payments.

Before you start

  • An owner or admin role in the company.
  • The Google account that gets your receipts and invoices.

Steps

  1. Step 1: Open Settings › Gmail and Drive.

  2. Step 2: Next to Gmail, press Connect and pick your Google account. Google asks you to allow read-only access.

  3. Step 3: Next to Google Drive, press Choose folder and pick the folder that holds invoices and statements, like Finance / Receipts.

  4. Step 4: Accountable looks in Gmail and the folder when a payment needs a receipt, attaches what it finds, and shows Last looked under each one.

Forward receipts instead

Every company has its own forwarding address at the top of Settings › Gmail and Drive. Press Copy forwarding address and forward receipts to it from any inbox. It works without connecting Google.

When access expires

Google sometimes stops an app's access, for example after a password change. The row then says Access expired; press Reconnect and allow access again. Receipts already attached stay attached.

Disconnect

Press Disconnect, then Disconnect Gmail and Drive. One Google permission covers both, so both stop and Google's access is revoked. Files already attached stay in Documents.

Good to know

  • Accountable only reads. It never sends email, deletes anything or changes files in Drive.
  • Drive access covers only the folder or files you pick, not the rest of your Drive.
  • Demo data under a row means that company runs on sample Google data.
