Steps

  1. Step 1: In QuickBooks Online, go to Reports › Standard reports and search Find report by name for General Ledger. It's under For my accountant.

  2. Step 2: Set Report period to All Dates and choose your accounting method, Accrual or Cash.

  3. Step 3: Click Columns and tick Debit and Credit, then run the report.

  4. Step 4: Click Export/Print › Export to Excel. If Excel shows the file as protected, click Enable Editing.

  5. Step 5: For the chart of accounts, open Reports › Standard reports › Account List and export it to Excel too.

  6. Step 6: In Accountable, press ⌘K and choose Move books from Digits, QuickBooks or a spreadsheet. Pick Move my books, choose QuickBooks under From and press Continue.

  7. Step 7: On Bring your old books, drop the file on Drop your general ledger here, or choose a file. Add the chart of accounts and bank statements too if you have them.

  8. Step 8: Press Start the move. You can leave the page; the move keeps going.

  9. Step 9: Answer each question that appears, then press Continue and Go live.

Or export everything at once

QuickBooks can also export its main reports and lists in one .zip: Settings ⚙ › Export data, pick a reason, pick the date range on the Reports tab, then Export to Excel. Upload the General Ledger file from the zip.

What Accountable does with the file

  • Reads every entry, account and vendor, and rebuilds your chart of accounts and history in a draft. Nothing is in your books until you press Go live.
  • Checks every month-end, account by account, against your old tool's own numbers and your bank and card statements. A month ties only when the difference is exactly $0.00.
  • Asks you about each month that doesn't tie, one question at a time, with the fix it suggests.
  • Lets you undo the whole move for 30 days after you go live.

Good to know

  • Intuit's own article doesn't name the All Dates period; any range that starts before your first transaction works.
  • When your workspace shows Connect QuickBooks, you can sign in to QuickBooks instead of uploading a file.
